Exporting Vita and Elements Data

In most cases, downloading a Word version of the Dossier or Annual Report will provide you with a copy of all the information entered in Elements and Vita. However, because Vita consists of two interrelated systems, you may need to export your data from both systems (Vita and Elements) to ensure all data has been exported.

Downloading Dossier from Vita

In Vita, you can download a Word version of your Dossier. This will allow you to make edits to your Dossier that are not possible in Elements/Vita or to keep a digital copy for future reference. Downloading the Word file should be done after all entries have been made in Vita/Elements as the Word document will not sync with future entries.

UX Tip

Data entered in the Vita directly can’t be exported individually. All data can be found on the Dossier. Please note that the data regarding the number of citations processed on the Dossier as part of a table and not attached to individual entries. These will need to be extracted manually from Vita or elsewhere.

  1. Go to vita.osu.edu and log in using your lastname.# and university password
  2. From the Navigation bar, click on Documents
  3. Click on Dossier
    Dossier button in Documents menu
  4. Click on Request Dossier.
  5. Once your Dossier loads, click on Save as Word to download a copy to your desktop

In Vita, if you use the Extension module, you can download a Word version of your Annual Report. This will allow you make edits to your Annual Report that are not available in Elements/Vita or to keep a digital copy for future reference. Downloading the Word file should be done after all entries have been made in Vita/Elements as the Word document will not sync with future entries.

Caution

Data entered in the Extensions module can’t be exported individually. All data can be exported on the Annual Report.

  1. Go to vita.osu.edu and log in using your lastname.# and university password

UX Tip

If you have multiple years of Extension reports, you may want to consider removing the date filter to download all your information in one document. You could also download a copy of the report for each year individually. To do this you would use the Configure option to select the reporting year.

Exporting data from Elements

Within Elements, you can bulk export all (or a select number) of records. This will allow you to easily review the selected records and their data fields for accuracy, or to keep as a digital copy for future reference.

  1. Go to vita.osu.edu and log in using your lastname.# and university password.
  2. From the Navigation bar, click on Elements Data.
  3. Select the desired area you would like to export: publications, professional activities, teaching activities or grants.
Publications, professional activities, teaching activities and grants sections located under My Summary
  4. Once in the desired area, select the Export button at the top of the screen.
My Publications Mine Tab, highlighting the Bulk Export button.
    UX Tip

Selecting the export button WITHOUT selecting individual records will export ALL of the records contained in that area. If you select individual records or the Select all on page option, the export button will only export those selected records and their contained data.

  5. A pop-up window will appear asking you to select your preferred export type. Please note that not all areas have all the same options for export file types.

Once exported, the Excel file contains every possible field within an Elements record. Some of these fields are not visible within the edit screen of Elements and should be disregarded.
