Carmen Role Mapping

Instructors and other instructional staff members who are entered in the Registrar's system will automatically be enrolled in a CarmenCanvas course shell. The table on this page illustrates which Registrar roles map to whichCarmen roles and provides a very brief summary of the levels of access available to each Carmen role. 

Course schedulers and instructors are encouraged to consult with one another to determine the appropriate roles for instructional staff. Carmen enrollment data is updated on a regular – generally nightly – basis, allowing changes  to be transferred to Carmen. Please allow 2 business days for changes made in SIS to be reflected in Carmen.

For more information about adding instructional staff in the Registrar's system, refer to the "View and Update Class Sections" portion of the Managing the Schedule of Classes training manual or contact staff in the Office of Student Records.

Individuals who are enrolled in Carmen courses through the update process from the Registrar's system cannot be removed from the Carmen course or have their roles changed within Carmen. Attempts to do this will last only until the next update, which is every 24 hours. To remove or change roles for these individuals, make changes to the corresponding sections in the Registrar's system.

Instructors can manually add individuals who are not in the Registrar's system to their Carmen courses using any of the available roles.  If it is not possible for the instructor of record to manually enroll someone, the dean or department chair for the unit offering the course may send a note to carmen@osu.edu explaining the situation and authorizing Carmen staff to manually enroll the person in the specified course.

Students who are enrolled in a course through Buckeyelink are also automatically enrolled in the corresponding Carmen course shell. This document does not address student enrollment.

  • Requests for manual enrollments that cannot be done by the instructor of record must be authorized by the dean or department chair of the unit offering the course.

  • Role names in SIS and in Carmen are independent of HR / Payroll status. Assigning a role in SIS or Carmen has no effect on eligibility for insurance plans or other benefits.

  • Role names in SIS or Carmen do not affect access to the Faculty Center Grade Roster. That function is assigned through a separate control in SIS.
