While Zoom’s AI Companion encompasses a broad range of tools, only two features are currently approved for use here at Ohio State. CarmenZoom users have access to Meeting Summary and Smart Recording to enhance their online meeting experience.
Meeting Summary
Meeting Summary allows meeting hosts to initiate an AI-generated summary of their meeting. Users can expect to receive an email with an overall summary of the meeting and a list of next steps.
Meeting Summary can be enabled regardless of whether the meeting is recorded.
Enable Meeting Summary
- Log in to carmenzoom.osu.edu.
- Select Settings from the left-hand navigation menu.
- Click the AI Companion tab.
- Under Meeting, click the Meeting summary with AI Companion toggle to enable it.
- If a verification dialog appears, click Enable to verify the change.
By default, the summaries from your meetings will only be available to you. If you want them to automatically be shared with others, adjust your settings as indicated in the interface.
You can also enable Meeting Summary templates and choose from a number of provided options.
Using Meeting Summary
You can start or stop Meeting Summary through the in-meeting controls for meetings you host. Meeting Summary only begins when the host or co-host clicks Start summary.
- Start a Zoom meeting as a host.
On the in-meeting controls, click the AI Companion button. Click Start when prompted. The meeting summary will begin to be generated, and participants will see a notification informing them that Meeting Summary is active.

If you need to stop the Meeting Summary before the meeting is finished, click AI Companion again, and toggle the switch in the AI Companion settings window that appears. Click Stop when prompted to stop summary generation.

After the meeting has ended, the summary will be finalized and sent out based on the settings you chose when enabling Meeting Summary. You can also view all of your summaries at carmenzoom.osu.edu.
Smart Recording
Smart Recording works with cloud recordings only. If enabled in the host settings, they will be included in all subsequent cloud recordings.
In addition to the detail included in the Meeting Summary, Smart Recording will organize the cloud recording into sections called "smart chapters," provide the key takeaways in the form of recording highlights, and identify action items to take after the meeting or webinar. The Smart Recording also provides analytics on key meeting and conversation factors, including talk speed, talk-listen ratio, longest spiel (or monologue), filler word usage, and patience.
Enable Smart Recording
- Log in to carmenzoom.osu.edu.
- Select Settings from the left-hand navigation menu.
- Click the AI Companion tab.
- Under Recording, click the Smart Recording with AI Companion toggle to enable or disable it.
- (optional) Select or clear any of the following checkboxes as desired.
- Create recording highlights: Zoom will automatically highlight the most important parts of the recording. Hosts can adjust the highlights as needed and share the video summary with users.
- Create smart chapters: Zoom will automatically group sections of the recording into chapters with an overview. Hosts can edit the chapters manually.
- Create next steps: Zoom will automatically summarize any actions to take after the recorded session. Hosts can edit the next steps manually.
- Meeting coaching: Zoom will provide additional analytics on key meeting and conversation factors, including talk speed, talk-listen ratio, longest spiel (or monologue), filler word usage, and patience.
Note: If you clear all the checkboxes, Smart Recording will be disabled.
- Click Save.
Using Smart Recording
Once enabled, you can view the Smart Recording features on cloud recordings that have finished processing. You can edit the summaries, chapters, and highlights. You can also trim the recording, edit the transcript, download the files, and more.
- Sign in to the Zoom web portal.
- In the navigation menu, click Recordings & Transcripts.
- On the Cloud Recordings tab, click the name of the recorded meeting or webinar.
You will see a list of recording files.
- Click the video thumbnail.
- The recording will open.
- The transcript text will appear to the right of the video.
- The Smart Recording features will be below the video.
